Website: Job Title: Administration Manage r Department: Administratio n Location: Mumba i Reporting To: Directo r Reportees: Direct :3 (Admin professionals )Indirect:10 (Housekeeping, security teams & office boys )Job Purpose : Onsitego is looking for self-driven Administration Manager to oversee and streamline admin operations , ensuring efficient resource management, compliance and a productive workplace environmen t. Responsibiliti es: Vendor Manageme nt: Conduct vendor audits, invite quotations as per requirement of the j ob. Ensure the job is completed as per time, completing entire vendor cycle (from quotations, PO/ Work order work completion to final billin g). Ensure that third party vendors for (Security, equipment, house-keeping, Air conditioning, pest control/RO and others) provide services as per agreement/AM Cs. Facility Managemen t: Ensure facility team, maintenance team resolves the maintenance issues on daily basis, monitoring electrical consumption of all locations on daily basis, ensure that equipment is serviced regularly on maintenance day and as and when the issues ari se. Manage Facilities with planning of day to day maintenance activities and utilizing the resources for the appropriate resu lt. Track and Monitor Hygiene Standards across all the locatio ns. Manage upkeep of DG Set, Firefighting system, LT panels e tc. Budget & MI S: Ensure that expenditure is done as per the budget allotted & tracking MIS in every month for the sa me. Maintain all electricity data (budgeted vs actual) and create repor ts. Focus on cost cutting of all maintenance activiti es. Planning and Execution of Servic es: Plan for services of Air conditioning, water supply (mineral water supply), pest control, Station ary Track electricity consumptions (Taking appropriate call for the minimizing of Bill s.)Track and monitor stock and consumption across facilit ies Legal/Regulatory Complian ce: Liaise with all statutory and government bodies, ensuring compliance with all statutory, corporate and regulatory guidelin es. Cafete r ia Manageme nt: Manage daily operations of the office cafeteria in line with company guidelines to ensure compliance with all health, safety and hygiene regulatio ns. Safety Manageme nt: Ensure security of employees, company assets and premises; by effectively keeping a tab on security measures and visitor manageme nt. Travel Management & Guest House Manageme nt: Manage relationships with travel agencies and vendors, negotiate contracts or rates with travel service provide rs. Develop strategic policies and programs for corporate trav el. Property Manageme nt: Search for leased office premises to set up new office, oversee repair and maintenance of office, improvement of building syst em.
