The Light Squares, an authorized distributor for Philips LED products based in Mumbai, is seeking a qualified Administration Manager to oversee facility management and general administrative functions.

Key Responsibilities:

  • Structure and optimize administrative processes to enhance efficiency.
  • Ensure effective communication channels within the organization to support overall business functions.
  • Oversee schedules and monitor deadlines diligently.
  • Maintain comprehensive records of office supplies, equipment, and services.
  • Track inventory and manage the procurement of materials while adhering to budgetary limits.
  • Assist in financial planning by monitoring costs and expenses.
  • Coordinate and supervise maintenance tasks across different office locations.
  • Manage modifications and improvements necessary for office environments.
  • Collect and assess quotes from diverse suppliers for administrative purchases.
  • Plan, organize, and oversee office initiatives such as recycling programs, renovations, and events.
  • Ensure all operations comply with established policies and regulations.
  • Stay informed about organizational updates and business changes.
  • Provide additional secretarial support, including record-keeping, reimbursements, and payment tracking.
  • Conduct regular inspections to ensure office assets are well-maintained.
  • Manage agreements related to office equipment maintenance in accordance with contract terms.
  • Act as a liaison for tenant concerns and implement required actions post-approval.
  • Facilitate both online and offline meetings, ensuring follow-up on action items.
  • Oversee premises inspections, pest control, and general maintenance.
  • Track and manage the renewal of insurance, licenses, agreements, and approvals.
  • Maintain cleanliness and organization within the office environment.
  • Coordinate project documentation and administrative planning.
  • Build strong relationships with the management team, staff, and external stakeholders.
  • Prepare presentations for executive discussions and draft replies to correspondence.
  • Develop innovative strategies and initiatives to meet organizational objectives.
  • Recruit, train, and delegate tasks to team members effectively.
  • Evaluate employee performance and provide necessary guidance for improvement.
  • Manage vendor relations and all personal matters related to the board of directors communication.
