Job Title: Executive Assistant to Global Director

Location : Mumbai

Are you a seasoned professional with exceptional organizational skills and a passion for supporting senior executives? We are hiring an Executive Assistant to the Global Director to join our dynamic team in Mumbai. This is a critical role that involves providing top-notch administrative, project management, and strategic support to ensure the seamless operation of the Global Director’s office.


What You’ll Do

Administrative Excellence :

  • Manage complex calendars, schedule meetings, and arrange travel for the Global Director.
  • Prepare and organize key documents, reports, and presentations.
  • Screen and prioritize communications, responding promptly and appropriately.

Project Management :

  • Coordinate and oversee special projects and strategic initiatives.
  • Track deliverables, deadlines, and milestones, ensuring alignment with project goals.
  • Collaborate with cross-functional teams to drive successful project execution.

Effective Communication :

  • Act as the point of contact for the Global Director, liaising with internal teams and external stakeholders.
  • Draft, review, and circulate key communications.
  • Foster effective collaboration across departments and teams.

Research and Analysis :

  • Conduct in-depth research and prepare briefing materials for high-level meetings.
  • Compile data to support strategic decision-making.

Event Coordination :

  • Organize and execute events, including meetings, conferences, and team activities.
  • Handle all event logistics, from venue selection to attendee communications.

Confidentiality & Discretion :

  • Manage sensitive information with the utmost confidentiality and professionalism.
  • Uphold the integrity of the executive office in all interactions.


What We’re Looking For

  • Bachelor’s degree in Business Administration, Sales, Logistics, or related fields.
  • 10+ years of experience in sales , preferably in the warehouse or logistics industry.
  • Proven expertise in freight forwarding roles is a must.
  • Strong negotiation and communication skills to engage with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Outstanding organizational skills with the ability to multitask and meet tight deadlines.
  • Willingness to travel for business needs.
  • A proactive, independent problem-solver with a keen eye for detail.
