Academic Operations Specialist Job Description

The Academic Operations Specialist will play a pivotal role in supporting the academic programs of an institution, ensuring that students receive a high-quality education.

Key Responsibilities:
  • Curriculum Development and Management:
    • Collaborate with faculty to develop, update, and maintain course curriculum aligning with program objectives and accreditation requirements.
    • Review and approve course syllabi, learning outcomes, and assessment methods.
    • Facilitate curriculum mapping to ensure consistency across programs.
  • Student Support:
    • Provide academic advising to students on course selection, degree requirements, and academic policies.
    • Monitor student academic progress, identify at-risk students, and implement interventions.
    • Coordinate academic support services like tutoring, workshops, and study skills development.
  • Faculty Support:
    • Assist faculty with administrative tasks like course scheduling, textbook orders, grade submissions, and room assignments.
    • Facilitate faculty development opportunities and professional development initiatives.
    • Communicate important academic updates and policies to faculty.
  • Scheduling and Logistics:
    • Create and manage class schedules, exam timetables, and room assignments.
    • Coordinate course registration and student enrollment processes.
    • Manage academic calendars and important deadlines.
  • Data Management and Reporting:
    • Maintain accurate student academic records, including transcripts, grades, and program evaluations.
    • Analyze student performance data to identify trends and inform program improvements.
    • Generate reports on academic metrics for administration and stakeholders.
  • Program Evaluation:
    • Conduct regular reviews of academic programs to assess effectiveness and identify areas for improvement.
    • Collect feedback from students, faculty, and stakeholders to inform program modifications.
  • Admissions Support:
    • Collaborate with admissions teams to review student applications and academic credentials.
    • Provide information to prospective students regarding academic programs and admission requirements.

Requirements:

  • Bachelor's degree in Education or related field.
  • Master's degree preferred.
  • At least 3 years of experience as an Academic Coordinator.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to analyze data and interpret results.
  • Knowledge of academic policies, procedures, and accreditation standards.
  • Proficiency in student information systems and data management tools.
  • Ability to work independently and as part of a team.
