Job Summary:

We are seeking a highly skilled and organized Executive Support Specialist to support our multifamily investment and operating platform.

The role will have excellent growth opportunities, with direct work experience with the client and the team.

  • Manage email inbox, prioritize messages, draft replies, and flag urgent matters.
  • Schedule and coordinate meetings with brokers, investors, and internal team members.
  • Anticipate needs, surface critical information, and ensure senior leadership is prepared for all meetings and decisions.
  • Own the firm's CRM and deal pipeline, extracting property and market information from Offering Memorandums (OMs), broker emails, and NDAs.
  • Track deal stages and generate pipeline reports.
  • Oversee daily tasks and task checklists, ensuring that all workstreams remain on track.
  • Prepare offering memos (OMs) and investor-facing materials in PowerPoint using firm-branded templates.
  • Draft Letters of Intent (LOIs) in Word and assist with NDA reviews.
  • Pull market and property-level information from CoStar to support underwriting.
  • Extract key data from OMs and broker materials and input into pre-built Excel models.
  • Maintain and update supporting spreadsheets, including rent rolls, property summaries, and comparable property data.
  • Conduct market diligence calls with brokers, property managers, and apartment operators with a high level of spoken English proficiency.
  • Draft monthly investor update emails and reports with a high level of written English proficiency.
  • Prepare concise research briefs and business memos to support investment decisions.
  • Document and refine SOPs for recurring tasks and firmwide business processes.
  • Ensure digital files are organized and information is consistently logged across systems.
  • Identify gaps in current workflows and propose solutions for greater efficiency.
Requirements:
  • Bachelor's degree in Business, Finance, or a related field
  • Prior experience as an Executive Assistant, Operations Manager, or similar strategic support role
  • Strong English communication skills, both written and verbal
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word)
  • Ability to learn and work with software platforms like HubSpot and CoStar
  • Ability to manage multiple priorities with sound judgment and minimal oversight.
  • Demonstrated ability to think critically, anticipate needs, and act as a trusted partner to senior leadership.
Preferred Experience:
  • Real estate industry knowledge (multifamily or commercial)
  • Experience drafting or reviewing legal documents (NDAs, LOIs)
  • Familiarity with CoStar or other property data tools
