The role of an Administrative Assistant is a key part of our Facilities team, responsible for providing administrative support to ensure the smooth operation of our office.

The ideal candidate will be able to learn new concepts quickly, demonstrate high initiative, and have great communication skills.

Key responsibilities include:

  • Active participation in office management, including handling general clerical tasks.
  • Organizing and preparing meeting schedules for various departments.
  • Ensuring meeting spaces are properly requisitioned ahead of schedule.
  • Managing office equipment and supplies, and ordering new equipment and supplies as needed.
  • Working collaboratively with other departments to help solve clerical issues.
  • Confer with human resources department to help with attendance, personnel databases, and other duties.
  • Representing department managers or other senior-level officers in meetings, including taking notes and recordings as needed.
  • Managing front office and attending phone calls, greeting visitors, and creating a welcoming environment.
  • Assisting the Travel team as needed.

Requirements include:

  • An associate degree in office administration or a related field may be preferred.
  • 0 to 2 years of clerical, secretarial, or office experience.
  • Working knowledge of Microsoft Office Suite, including Word, PowerPoint, and Excel.
  • Experience using business email services, such as Microsoft Outlook.
  • Previous experience with, or an ability to learn to use common office equipment, such as audio and video systems, fax machines, UPS, and copy machines.
  • Comfort multitasking and handling multiple requests from different individuals and departments.
  • Ability to work quickly and in a potentially high-stress environment.
  • Working knowledge of general office equipment.
  • Strong communication skills and extremely self-motivated when managing communication channels.
  • Highly organized and capable of creating organizational systems that others easily utilize.
  • Comfortable with routinely shifting demands.
  • High degree of attention to detail.
  • Data entry experience.
