Job Title: Senior Manager

This role oversees the daily operations of the administrative team, ensuring a smooth functioning of office services and tasks.

The successful candidate will provide direct administrative support to senior leadership, including managing schedules, organizing meetings, and preparing documents.

They will also act as the point of contact for all office-related inquiries, requests, and issues.

Maintenance of office supplies inventory, place orders when necessary; ensure office equipment and technology are in good working order.

Coordinate and manage office-wide events, meetings, and conferences.

Responsibilities:

  • Administrative Support and Coordination:
    • Manage daily operations of the administrative team.
    • Provide administrative support to senior leadership.
    • Act as the point of contact for all office-related inquiries.
    • Maintain office supplies inventory and ensure office equipment is in good working order.
    • Coordinate office-wide events, meetings, and conferences.
  • Team Leadership and Supervision:
    • Supervise and guide administrative staff.
    • Develop and implement workflows to optimize team performance.
    • Conduct performance reviews and assist in career growth plans.
  • Facilities Management:
    • Oversee maintenance and upkeep of office facilities.
    • Liaise with external vendors and contractors.
    • Coordinate office moves and space planning.
  • Documentation and Reporting:
    • Maintain accurate records of office activities.
    • Assist in preparing reports, presentations, and other materials.
    • Ensure compliance with company policies and regulations.
  • Process Improvement:
    • Identify areas for process improvement.
    • Implement solutions to increase efficiency and productivity.
  • Confidentiality and Compliance:
    • Handle sensitive information with discretion.
    • Ensure compliance with company policies and legal requirements.
  • Special Projects:
    • Lead or participate in special projects.
    • Assist in developing and implementing new administrative systems.

Qualifications:

  • Bachelor's degree in Business Administration or related field.
  • Minimum 8+ years in an administrative role with at least 4-5 years in a supervisory capacity.
  • Proven experience managing office operations and facilities.
  • Strong background in supporting senior management and cross-functional teams.
  • Skills:
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite and office management software.
