Job Description

We are seeking a Customer Service Associate to join our team. As a key member of our support team, you will be responsible for providing exceptional customer service and ensuring that all customer queries are resolved efficiently.

The ideal candidate will have excellent communication skills, a strong understanding of customer service principles, and the ability to work in a fast-paced environment.

  • Billing:
    • Responsible for processing all billing activities as per E-Invoicing rules;
    • Ensure timely and accurate billing to customers;
  • Sales Support:
    • Provide customer service when the sales team is absent;
    • Assist in resolving customer queries related to sales and product inquiries;
  • Customer Coordination:
    • Manage dispatch schedules, delivery timelines, and updates;
    • Coordinate with customers to resolve any issues related to orders or deliveries;
  • Sales & Finance:
    • Issue Proforma Invoices and follow up on payments;
    • Handle Payments and Reconciliations;
  • Warehouse & Dispatch:
    • Send approved invoices for dispatch;
    • Coordinate sample dispatch and maintain logs;
  • CHA & Customs:
    • Liaise with CHA for import/export clearance and share required documents;
    • Track and update clearance status;
  • Head Office:
    • Request stock and confirm inventory levels;
    • Handle urgent escalations and provide support to the head office team;
  • Reporting:
    • Maintain accurate records of sales, payments, and dispatch;
    • Prepare regular performance and inventory reports;
Required Skills and Qualifications

To be successful in this role, you should possess the following skills and qualifications:

  • 5-10 years of experience in customer service and billing;
  • Strong understanding of E-Invoicing rules and regulations;
  • Excellent communication and interpersonal skills;
  • Ability to work in a fast-paced environment and meet deadlines;
  • Basic computer skills and proficiency in Microsoft Office applications.
