Financial Operations Role at PATH

PATH is seeking a highly skilled and experienced Finance and Compliance Specialist to support our program operations. The successful candidate will be responsible for facilitating all financial and administrative processes, ensuring compliance with local laws and regulations, and maintaining accurate records.

  1. Coordinate with vendors and contractors to submit invoices within the due timeline and track vendor advances.
  2. Process Travel Expenses (TER) of PATH and non-PATH staff and keep track of Travel Advance.
  3. Maintain a payment tracker to identify any undue delays and provide payment advice to vendors immediately.
  4. Process payments in Salesforce based on PADM approval.
  5. Ensure compliance with PATH policies, SOPs, and local laws.
  6. Prepare and upload required supporting documents for procurements and payments in the financial system.
  7. Upload relevant information and documents in Salesforce related to sub-contracts and consultant contracts.
  8. Support PADM and other colleagues with analysis and reports during month-end reporting.
  9. Track physical files stored in onsite and offsite locations and maintain copies of all contracts/agreements/Purchase Orders issued.
  10. Ensure that all financial transactions are properly coded and charged to the correct project codes.
  11. Support PADM to ensure compliance with PATH procurement policy.
  12. Support PADM in maintaining a tracking tool for each specific contract/agreement.
  13. Assist PADM in developing, executing, and managing project subordinate agreements.
  14. Review utilization certificates received from NGOs/CBOs and recommend approval to the PADM.
  15. Support/assist during any audit, including statutory, internal, project, or donor-mandated audits.
  16. Keep track of outstanding audit issues.
  17. Organize workshops, seminars, training, and meetings as required.
  18. Perform other accounting and finance-related tasks as requested by the Senior Project Administrator (Sr. PADM)/PADM.

Administrative Support

The Finance and Compliance Specialist will also provide administrative support to the project team, including:

  1. Serving as the primary point of contact for administrative matters.
  2. Providing a full range of administrative support, including scheduling travel and events, internal staff relations, external liaison, and correspondence.
  3. Maintaining a database of regular vendors to manage small procurements.
  4. Drafting meeting minutes and communicating with relevant stakeholders.
  5. Supporting the senior management team with group meetings and assignments.

Requirements

To be successful in this role, the candidate should have:

  1. A Bachelor/Masters/Post Graduate degree in Accounts/Finance with a minimum of 5 years of experience in accounting processes.
  2. Experience working independently in a for-profit and/or international non-profit organization for at least 5 years.
  3. Knowledge of local laws related to INGO/NGO, Income Tax, Labor Law, etc. will be preferred.
  4. Excellent computer skills in Microsoft Excel, PowerPoint, and Word.
  5. Well-organized and attention to detail with good follow-through skills.
  6. Excellent written and verbal communication skills in English language and the ability to adapt to a changing environment.
  7. Proven interpersonal skills and the ability to work effectively independently and in a team.
