Procurement Specialist

Job Description:

The Procurement Specialist will oversee the procurement lifecycle of facility assets, ensuring accuracy and condition throughout. This involves maintaining precise records, tracking asset status and locations, and conducting regular audits to guarantee data integrity.

Key Responsibilities:

  • Maintain a centralized record of facility assets, including equipment, furniture, and fixtures.
  • Track asset status, locations, and custodians using an asset management system or database.
  • Conduct regular audits to verify the accuracy and condition of assets, and update records accordingly.
  • Support asset tagging, labeling, and identification processes.
  • Review and understand technical specifications of purchase requisitions.
  • Coordinate with internal departments for sample quality validation.
  • Negotiate terms and prices with vendors to ensure cost-efficiency and quality.
  • Develop and maintain relationships with key suppliers for smooth communication and to meet required expectations.
  • Maintain supplier database up to date.
  • Prepare price comparison sheets and submit for approval.
  • Prepare purchase requisitions and send them to the corporate office to raise purchase orders as per company policy.
  • Email PO copies to vendors along with stakeholders.
  • Follow up on delivery status and keep storekeepers and concerned departments posted.
  • Resolve problems that arise with goods such as discrepancies, damage, and wrong deliveries.
