We are seeking a skilled and experienced Administrative Assistant to join our dynamic team.

  1. Welcome Guests: Greet and welcome guests as soon as they arrive at the office, creating a positive first impression.
  2. Direct Visitors: Direct visitors to the appropriate person and office, ensuring that everyone reaches their destination efficiently.
  3. Manage Calls: Answer, screen and forward incoming phone calls, handling sensitive information with discretion.
  4. Maintain Reception Area: Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  5. Provide Information: Provide basic and accurate information in-person and via phone/email, responding to queries promptly.
  6. Receive and Distribute Mail: Receive, sort and distribute daily mail/deliveries, maintaining a high level of organization.
  7. Ensure Office Security: Maintain office security by following safety procedures and controlling access via the reception desk.
  8. Order Supplies: Order front office supplies and keep inventory of stock, minimizing waste and unnecessary expenses.
  9. Update Calendars: Update calendars and schedule meetings, ensuring that everyone is on the same page.
  10. Arrange Travel: Arrange travel and accommodations, preparing vouchers and itineraries as needed.
  11. Record Expenses: Keep updated records of office expenses and costs, providing transparency and accountability.
