As a dedicated HR & Operations Assistant, you will play a pivotal role in providing comprehensive support across recruitment, onboarding, employee relations, and general operations. Your attention to detail and proactive approach will be essential in maintaining accurate employee records, coordinating HR processes, ensuring compliance, and supporting day-to-day operational needs.

Key Responsibilities
  • Employee Documentation Management: Manage employee documentation, including new hire forms, benefits enrollment, and personnel files, ensuring accuracy and timeliness.
  • Employee Records Consolidation: Consolidate and maintain accurate employee records in a centralized system, guaranteeing seamless access for all stakeholders.
  • Benefits Updates: Process benefits updates and open enrollment changes, ensuring timely completion and adherence to company policies.
  • Annual Compensation Inputs: Support annual compensation inputs across HR systems, ensuring precision and efficiency.
  • Onboarding and Offboarding: Ensure timely follow-up on onboarding, offboarding, and checklist-driven HR tasks, guaranteeing a smooth transition for employees.
  • Candidate Sourcing: Source and screen candidates from multiple platforms, identifying top talent for key roles.
  • Interview Coordination: Conduct initial candidate phone screenings and coordinate interview scheduling, streamlining the hiring process.
  • Candidate Communication: Manage candidate communications throughout the hiring process, providing timely updates and information.
  • Salary Discussions: Provide support in salary discussions and offer negotiations, ensuring fair compensation packages.
  • New Hire Information: Collect and validate new hire information and required documentation, ensuring accuracy and completeness.
  • Background Checks: Initiate and monitor background checks, guaranteeing a secure work environment.
  • Welcome Kits and Orientation: Prepare welcome kits and facilitate new hire orientation, ensuring a warm welcome for new employees.
  • Company Policies: Communicate company policies and procedures clearly to new employees, ensuring understanding and adherence.
  • System Setup and Access: Partner with IT for system setup and access provisioning, guaranteeing seamless access to necessary tools and resources.
  • Attendance and Leave Tracking: Track employee attendance, leave, and remote work requests, ensuring accurate records and compliance with company policies.
  • Logistics and Procurement: Coordinate logistics, including transportation and facility-related needs, and manage procurement of laptops, accessories, and office supplies, ensuring efficient use of company resources.
  • Employee Income Tax Documentation: Provide support for employee income tax documentation and filings, ensuring compliance with tax regulations.
  • Employee Engagement: Plan and execute employee engagement activities such as team lunches, celebrations, and company events, fostering a positive work environment.
  • Workforce Planning: Support workforce and resource planning initiatives, ensuring optimal use of company resources.
  • Regulatory Compliance: Ensure office space maintenance and employee safety compliance, adhering to regulatory requirements.
  • Standard Operating Procedures: Draft and update Standard Operating Procedures (SOPs) to align with regulatory requirements, ensuring clear guidance for employees.
