Purchasing Administration

We are seeking a highly organized and detail-oriented Purchasing Administration professional to join our team at Accor Hotel.

  • Coordinate the expediting of purchase orders to ensure timely delivery of goods and services.
  • Assist in preparing requests for quotations to obtain competitive pricing for specifications.
  • Obtain quotations from at least three vendors for specifications as directed.
  • Prepare budget shells from designer specifications to ensure accurate costing.
  • Prepare reports such as bid summaries to track procurement progress.
  • Close project files and maintain project storage logs to ensure compliance.
  • Maintain disclaimers, credit applications, and vendor information to ensure smooth procurement processes.
  • Able to maintain Hazard Analysis Critical Control Point (HACCP) standards at all levels from sourcing to storage.
  • Make purchase orders based on approved quotations and follow up with vendors for delivery of materials.
  • Maintain product specifications for all items to be purchased and update data in the computer system.
  • Provide required goods and services to the operations department.
  • Uphold purchasing ethics when deciding upon vendors.
  • Other Responsibilities
  • Be aware of hotel fire and life safety/emergency procedures.
  • Attend all briefings, meetings, and trainings assigned by management.
  • Maintain a high standard of personal appearance and hygiene at all times.
  • Perform other reasonable duties assigned by management.
Qualifications

We are looking for a candidate with:

  • Graduate or Diploma education.
  • Minimum 2 years of experience in an office administrative role or 1 year of experience in a similar capacity.
  • Excellent reading, writing, and oral proficiency in English language.
  • Proficiency in Material Control, MS Office, and MS Excel.
  • Able to work in a high-pressure environment.
  • Proficient in MS Excel, Word, and PowerPoint.
