Key Responsibilities

This role involves ensuring seamless day-to-day operations. Key responsibilities include:

  • Procurement and inventory management of office supplies and printing stocks, with negotiation skills to secure the best rates.
  • Travel coordination, including booking tickets and accommodations for team members, ensuring safe and suitable options.
  • Finding and negotiating with vendors (food, vehicles, projectors) across various locations to support program needs.
  • Organizing a secure filing system for confidential company documents.
  • Providing travel updates and answering employee queries in a timely manner.
  • Last-minute bookings, sometimes on weekends.
  • Booking meeting rooms as required.
  • Distributing and storing correspondence (letters, emails, packages).
  • Supervising and guiding junior staff, ensuring effective work completion.
  • Supporting other teams with day-to-day requirements.
  • Ensuring venue/hall bookings for quarterly/annual reviews, events, and conferences.

Maintaining productivity without hassle, meeting deadlines efficiently is crucial for success in this role.

Required Skills and Qualifications

The ideal candidate will have:

  • A bachelor's degree in a relevant field, preferably with 5-6 years of experience.
  • Proven experience as an administrative executive, travel desk, or similar role.
  • Proficiency in MS Office, especially MS Excel and MS PowerPoint.
  • Excellent organizational, multitasking, and communication skills.
