Job Overview
We are seeking a highly skilled and organized individual to join our team as an HR Operations Executive.
This role will be responsible for managing the day-to-day activities of the HR department, ensuring smooth operations and efficient delivery of services.
Key Responsibilities- Create purchase requests, purchase orders, and service requests in SAP for invoice processing and obtain payment barcodes to share with relevant parties.
- FOLLOW UP AND TRACK PAYMENTS WITH DIFFERENT LEVELS OF APPOVERS FOR PAYMENT PROCESSING.
- Maintain accurate records of all payments, categorized by financial year.
- Process invoices from collection to final payout within defined timelines.
- Critical Invoice Payments: execute within defined TAT.
- Resolve held payments related to invoices.
- Process other invoices within defined TAT.
- Process supply invoices, JSW Steel event invoices, and advance invoices.
- Timely process consultant invoices and ensure release of payments by the last day of each month.
- Process non-PO invoices and release payments according to set timelines.
- Process employee expense invoices.
- Handle consultant reimbursement bills.
- Distribute vendor registration formats to vendors for creating vendor codes.
- Review agreement documents and modify processes accordingly.
- Address vendor queries, update payment status, share payment advice, and UTR numbers.
- Collect necessary documents from SPOCs in response to vendor queries and modifications.
- Automate payment clearance processes.
- Distribute new Sodexo cards to employees.
- Assist in maintaining employee query records and clear queries with Sodexo's SPOC.
- Maintain manual records of Sodexo card distribution and gift card distribution.
- Create yearly PRs and POs for JSW Steel, JSW Retail & Distribution, JSW Projects, and JSW Techo Projects.
- Review and approve employment and educational documents submitted by candidates prior to joining.
- Verify physical documents and create employee files.
- Create ID cards and employee IDs for employees joining at the corporate office.
- Create ID cards and hand them over to employees joining at PAN India locations.
- Create visa letters.
- Create and extend internship letters.
- Prepare project completion letters.
- Create relieving and exit letters.
- Generate, revise, and extend consultant letters.
- Create other manual letters as requested.
- Plan inductions for senior management employees based on HRBP requests.
- Coordinate in-person interactions for senior management employees.
- Coordinate tours for senior management employees in collaboration with plant HR teams.
- Graduate degree required; MBA preferred.
- Minimum 5-7 years of experience in operations; 3-5 years of experience in HR operations.
- Proficient in MS Office, especially Excel.
