Job Title: Facilities Coordinator

  • As a key member of our team, you will play a crucial role in overseeing the administration of day-to-day operations within the HUB. This includes managing administrative activities, coordinating with the Admin Team, and ensuring seamless execution of tasks.
  • You will be responsible for defining the scope and Key Result Areas (KRAs) of Team members, communicating effectively with immediate management, and reporting daily activities to the Regional Admin Head – TCSiON.
  • This position involves monitoring and reporting on key project activities, plans, and progress, as well as managing calls and discussions to ensure zero incidents on Exam Day related to Admin Services.
  • Additionally, you will assist in Recruitment, Training, and talent development of Team Members, define and deploy control and monitoring mechanisms for the Admin Team within the HUB, and standardize processes at all Exam Venues within the HUB.
  • Prioritizing Vendor Management, support to Regional Head in finalizing contracts, and vendor invoicing are also essential aspects of this role.
  • The central point of contact for all facility-related matters within the HUB, ensuring SLA/SLC at Exam Venues, governance over ViDZ/LISP partners, and deployment of Adhoc/Contract manpower at Exam Venue are some of your responsibilities.
  • You will assist in shortlisting prospective partners/venues identified based on defined parameters within the region, maintain and monitor legal compliances for all Venues, prepare and deploy contingency/BCP, conduct surprise checks at Exam Venues, handle crisis situations, and coordinate/manage with Manpower agencies on deployment and other staff-related issues & compliances.

Requirements:

  • Good communication skills (written/verbal)
  • Strong technical knowledge of Electrical Equipments
  • Experience in Soft services facility mgmt.
  • Experience in Facility Operations and management
  • Must have managed a team
  • Experience in conflict management
  • Willing to work, learn, and perform under extreme pressure
  • Willing to travel
  • Good liaisoning with Police and other local Govt. departments
  • Aware of laws related to facility compliance and operations
  • Vendor Management skills
  • Open to take complete ownership, responsibility, and accountability of assigned work
  • Good computer knowledge (Microsoft Excel, Word, PowerPoint, etc.)

  • Professional Certifications, additional language knowledge, Strong analytical and logical understanding
