Job Title

A Junior Support Specialist plays a pivotal role in ensuring the seamless experience of visiting and resident faculty at our institution.

  • Daily administrative tasks, such as office setup and stationery supplies management.
  • Coordinate travel arrangements for visiting faculty and residents.
About the Role

This 30% responsible position involves assisting Visiting and Resident faculty with various administrative duties, including classroom setup and logistics.

The role also entails supporting Resident faculty, Visiting Faculty, guest speakers with travel accommodation, F&B requirements and other necessary arrangements.

In addition to these key responsibilities, the Junior Support Specialist will be accountable for:

  • Raising Purchase Orders (POs) and processing invoices for course-related expenditures.
  • Ensuring timely final honorarium payment invoices are completed and ticket settlements are processed on time.
  • Supporting departmental activities, including stationery procurement, BAZ, graduation & placement.
KPIs and Performance Metrics

The following performance indicators will be used to measure success in this role:

  • Blocking offices and setting up before arrival.
  • Accommodation arrangements.
  • Preparing welcome kits, personalized schedules, and emergency contact information.
  • Planning local and outstation trips.
  • IT catalogues and internet connectivity.
  • Issuing ID cards for smooth access to campus.
  • Name templates and door templates.
  • Cash advance as per policy.
  • Documentation for FRRO for visiting faculty.
  • Coordination with F&B and housekeeping staff for requirements between classes.
  • Coordinating with LRC on required readings/materials for courses.
