Administrative Operations Manager

The role of the Administrative Operations Manager is to oversee daily support operations and plan efficient administrative procedures.


Key Responsibilities
  • Process Planning: Coordinate administrative systems, streamline processes, and devise methods for maximum efficiency.
  • Staff Performance: Assess staff performance, provide coaching, and guidance to ensure optimal productivity.
  • Inventory Management: Monitor office supplies, purchasing, and costs to assist in budget preparation.
  • Facilities Services: Oversee maintenance activities, tradespersons, and vendors.
  • Office Operations: Organize and supervise other office activities, including recycling, renovations, event planning, housekeeping, security, pantry management, and cleanliness.
  • Policies and Regulations: Ensure operations adhere to policies and regulations.
  • Communication: Maintain smooth information flow within the company to facilitate business operations.
  • Negotiations: Negotiate with vendors and travel agents for best prices.
  • Travel Arrangements: Manage calendars, arrange travel itineraries, and accommodations for employees.
  • Vendor Development: Select, coordinate, and manage vendors.
  • Maintenance: Maintain office assets, including Annual Maintenance Contracts (AMCs).
  • Relations: Establish and maintain good relations with government bodies and police officials.
  • Expense Tracking: Track expenses to ensure compliance with cost budgets.
Required Skills and Qualifications
  • Independence: Ability to work independently with minimal supervision.
  • Documentation Skills: Excellent documentation skills using MS Word, PowerPoint, Excel, etc.
  • Interpersonal Skills: Strong interpersonal skills, excellent communication with clients, colleagues, and management.
  • Time Management: Good time management skills, prioritizing, scheduling, and adapting as necessary.
  • Communication Skills: Excellent oral and written communication skills.
  • Teamwork: Strong team player with admin support services expertise.
  • Mail Communication: Good mailing communication and basic drafting skills.
  • Reliability: Pro-active, reliable individual with ability to perform well in challenging situations.
