Director's Office Assistant Job Summary
We are seeking a highly organized and proactive professional to support the Director in managing daily operations and ensuring seamless communication across departments.
The ideal candidate will possess excellent communication skills, discretion, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
- Provide comprehensive administrative support to the Director, including calendar management, scheduling meetings, and coordinating appointments.
- Prepare, review, and manage correspondence, reports, presentations, and other documents on behalf of the Director.
- Act as the first point of contact for internal and external stakeholders, handling inquiries with professionalism and confidentiality.
- Coordinate logistics for events, board meetings, and other institutional activities.
- Assist with project management tasks, tracking deadlines, and ensuring timely completion of Director's initiatives.
- Facilitate communication between the Director and faculty, staff, students, and external partners.
- Manage travel arrangements and expense reports.
- Maintain filing systems, databases, and records to support organizational efficiency.
Qualifications:
- Bachelor's degree preferred, preferably in Education, Business Administration, or related field.
- Minimum of 2 years experience as an executive or administrative assistant, preferably in education or a related sector.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with educational management software is a plus.
- Ability to multitask and prioritize effectively in a dynamic environment.
- High level of professionalism, discretion, and confidentiality.
