
Chief Administrative Officer

Job Summary:
This role involves overseeing daily administrative tasks to ensure smooth institutional operations and supporting the academic objectives of an organization. The ideal candidate will have strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key responsibilities include general administration, office management, procurement, AMC planning, vendor coordination, facility management, reporting, and crisis management.
- General Administration & Office Management:
- Ensure efficient day-to-day operations by handling correspondence, emails, phone calls, and official communication.
- Maintain office supplies, equipment, and infrastructure to support team productivity.
- Procurement & Purchase Coordination:
- Identify and evaluate suppliers based on quality, price, and delivery timelines for cost-effective purchasing.
- Issue purchase orders (POs) and track their approval process to ensure timely delivery.
- AMC Planning & Vendor Coordination:
- Research and finalize service providers for AMC agreements, negotiating contract terms, pricing, and service-level agreements (SLAs).
- Facility & Infrastructure Management:
- Ensure classrooms, seminar halls, and office spaces are well-maintained and suitable for academic activities.
- Reporting & MIS:
- Prepare monthly reports and statutory reports as required.
- Crisis Management & Emergency Handling:
- Implement emergency protocols for medical, fire, or security incidents to ensure prompt response and minimal disruption.
Requirements:
- 3-5 years of experience in administration and facility management with a strong focus on organizational efficiency and attention to detail.
- Excellent communication and interpersonal skills to build effective relationships with stakeholders.
