Job Title: Front Office Operations Coordinator

About the Role:

  • Maintain a tidy and presentable front desk with all necessary materials and supplies.
  • Greet and welcome guests, providing exceptional customer service.
  • Address questions and concerns in a professional manner.
  • Respond to incoming calls, redirecting them when necessary or taking messages.
  • Receive and distribute letters, packages, and other mail items efficiently.
  • Prepare outgoing mail by drafting correspondence and securing parcels securely.
  • Monitor office communications, checking, sorting, and forwarding emails promptly.
  • Oversee office supplies, placing orders as needed to maintain optimal levels.
  • Maintain up-to-date records and files for accurate tracking and reference.
  • Monitor office expenses, ensuring cost-effectiveness and responsible spending.
  • Perform additional duties as assigned, including travel arrangements and schedules, to support the team's success.

Requirements and Qualifications:

  • High school diploma or equivalent required; degree in hospitality, business administration, or related field preferred.
  • Excellent communication and interpersonal skills essential for effective collaboration and client interaction.
  • Ability to multitask, prioritize tasks, and manage time efficiently in a fast-paced environment.
  • Familiarity with office software applications, including email management and scheduling tools.
  • Basic math skills and accuracy when handling finances and inventory.
  • Physical ability to lift and move objects, if necessary, and stand for extended periods.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
