We are seeking a highly organized and customer-focused individual to join our team as a Front Office Administrator.

Job Summary:

The successful candidate will be responsible for providing exceptional support to our clients, visitors, and employees by managing the front desk, ensuring a welcoming atmosphere, and maintaining a well-organized office environment.

Key Responsibilities:
  • Welcome and greet visitors with a friendly and professional demeanor, ensuring they sign in and out as necessary.
  • Manage phone calls, directing them to the appropriate department or individual, taking messages when necessary, and maintaining a log of incoming and outgoing calls.
  • Provide administrative support to various departments, including data entry, document preparation, and assisting with special projects.
  • Sort and distribute incoming mail and packages, prepare outgoing mail and packages, and coordinate courier and postal services.
  • Schedule appointments and meetings for company executives, managers, and other staff as required.
  • Maintain a clean and organized workspace, ensuring the reception area and front office are presentable at all times.
  • Register visitors, issue badges, and monitor security, responding to incidents as necessary.
  • Provide excellent customer service, addressing inquiries, and directing individuals to the appropriate personnel to meet their needs.
  • Maintain visitor logs, appointment schedules, and other records as required.
  • Maintain the books of accounts of the branch office by passing accounting entries in accounting software and send periodic MIS to the head office.
Qualifications:
  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Proven experience in a similar front office or administrative role.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software and equipment, such as Microsoft Office Suite and multi-line phone systems.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Professional appearance and demeanor.
  • Customer service-oriented attitude.
  • Knowledge of security and safety procedures is a plus.
