Automate Operations Specialist Role

We are seeking a highly skilled Automation Specialist to design, build, and deploy an end-to-end automation system that streamlines back-office operations.

The goal is to replace manual admin processes with reliable automations that meet compliance standards.

Key Responsibilities:

  • Design and implement document automations (receipts, contracts, audit packs, authority forms).
  • Build Slack command workflows for one-click actions.
  • Configure and optimize Pipedrive CRM fields, automations, and deal stages.
  • Automate document generation and email workflows.
  • Integrate DocuSign for seamless e-signature workflows.
  • Automate onboarding workflows for Property Management tools.
  • Route leads from funnels and classify them via AI.
  • Build compliance workflows, including intake checklists and missing-doc reminders.
  • Develop dashboards and reporting for KPIs and pipeline tracking.
  • Ensure all workflows follow security, compliance, and reliability standards.

Requirements:

  • Proven experience with no-code automation platforms.
  • Strong knowledge of Slack integrations and app workflows.
  • Experience with CRM automation, preferably Pipedrive.
  • Familiarity with Google Workspace automation.
  • Knowledge of DocuSign API/integration.
  • Ability to integrate with Property Management tools and BGL Simple Fund 360.
  • Understanding of compliance-sensitive workflows.
  • Ops/Systems mindset and strong communication skills.

Nice to Have:

  • Experience with AI-driven automations.
  • Familiarity with Australian property or SMSF compliance.
