Job Summary:
We are seeking a highly organized and efficient Front Desk Coordinator to join our team. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, managing office operations, and maintaining a welcoming environment for guests and employees alike.
Key Responsibilities:
- Greet and welcome guests warmly upon arrival at the office, ensuring they feel valued and supported.
- Direct visitors to the appropriate departments or personnel efficiently, streamlining their experience and reducing wait times.
- Answer, screen, and forward incoming phone calls professionally, responding promptly and resolving issues in a timely manner.
- Maintain a tidy and well-presented reception area, including replenishing stationery, forms, and brochures as needed.
- Provide accurate information to clients and employees both in-person and via phone/email, demonstrating expertise and knowledge.
- Receive, sort, and distribute daily mail, packages, and deliveries, handling sensitive and confidential materials with discretion.
- Follow office security procedures by managing visitor logs and controlling access to the premises, prioritizing safety and security.
- Order and monitor inventory of office supplies, ensuring timely restocking and minimizing waste.
- Manage calendars and schedule appointments for guest visits, including arranging transportation and catering as needed.
- Coordinate internal and external transportation for events, meetings, and guest visits, facilitating seamless logistics.
- Perform administrative and clerical duties such as filing, scanning, photocopying, and data entry, maintaining accurate records and reports.
- Support the admin team with various ad hoc tasks as assigned by the reporting manager, contributing to a collaborative and dynamic work environment.
Qualifications & Experience:
- Minimum graduation in any relevant field, with a strong foundation in business administration or a related field.
- Proven experience as a Receptionist, Front Office Executive, or Administrative Assistant, with a track record of delivering exceptional results.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), with hands-on experience with office equipment (e.g., printers, scanners).
Working Hours:
Six days a week, 9:30 AM to 6:30 PM, allowing for flexibility and work-life balance while meeting the demands of the role.
