Job Title: Operations Specialist and Office Manager

At our organization, we are seeking a highly organized and detail-oriented Operations Specialist and Office Manager to support our team. This is an exciting opportunity for someone who is passionate about coordination, administrative tasks, and working closely with artists and partners.

  • Key Responsibilities:
  • Act as a right-hand person to the founder and senior leadership team, managing calendars, meetings, and travel schedules.
  • Handle contracts, documentation, and coordination with internal and external stakeholders.
  • Shadow the founder in key meetings and follow through on action items.
  • Build strong relationships with artists, brands, and partners we represent, ensuring their needs are taken care of.
  • Support event/project execution by anticipating requirements and staying ahead of the curve.
  • Assist in research, industry updates, and preparing briefs for upcoming projects.
  • Support hiring, people operations, administration, and employee engagement efforts.

Requirements:

  • 2-4 years of work experience in operations, coordination, HR admin, or founder's office roles from media companies.
  • Strong organizational skills, attention to detail, and ability to juggle multiple priorities.
  • Excellent communication and people skills, warm, approachable, and trustworthy with artists and partners.
  • Comfort with contracts, basic legal/financial documents, and operational processes.
  • A genuine passion for films, arts, and events.
  • Self-starter attitude, able to thrive in an unstructured, fast-paced environment.
