This role is ideal for someone with extensive experience in online software and technical tools. You will lead a team of contractors that manage funnels, execute email campaigns, update websites, design and implement workflows of an Applicant Tracking System.

Key Responsibilities
  • Design, improve, and maintain internal systems, SOPs, and workflows to boost efficiency.
  • Set up and optimize tools, software, and automations for operational excellence.
  • Track and enhance documentation, filing systems, and knowledge hubs to ensure smooth collaboration.
  • Evaluate and upgrade performance across platforms like Monday.com, GoHighLevel, Make.com, and Zapier.
  • Monitor system uptime and implement process improvements to minimize downtime.
Leadership & Team Management
  • Foster a culture of feedback, coaching, and open communication.
  • Keep the team engaged, supported, and accountable without micromanaging.
  • Lead hiring, onboarding, and performance reviews to ensure employee development.
  • Track team response time and workflow capacity to make data-driven decisions.
  • Ensure clear roles and expectations across virtual teams to promote collaboration.
  • Act as a liaison between contractors, stakeholders, and business owners to facilitate effective communication.
Strategic Decision Making
  • Align daily operations with long-term business strategy to drive success.
  • Analyze performance metrics and KPIs to inform operational decisions.
  • Use spreadsheets and formulas to support data analysis and reporting to drive informed decision making.
  • Prioritize resource allocation based on capacity and business needs to maximize productivity.
Requirements
  • 5+ years of experience in operations, systems, and people management to bring expertise to the table.
  • 2+ years of Digital Marketing experience to leverage existing skills.
  • OBM certification strongly preferred to demonstrate commitment to the field.
  • Fluent in English (written and verbal) to communicate effectively.
  • Highly tech-savvy, analytical, and system-oriented to drive innovation.
  • Experience within a service-related online business, like a marketing agency, is desired to bring industry insight.
  • Strong project management skills (e.g., Asana, Trello, ClickUp, Monday.com) to streamline processes.
  • Proven ability to lead remote teams with a focus on accountability and performance to drive results.
  • Strategic thinker with long-term planning capabilities to envision future growth.
  • Excellent communication and collaboration skills to foster a positive team culture.
  • Strong problem-solving and decision-making abilities to navigate complex challenges.
  • Skilled in using spreadsheets and formulas for data tracking and analysis to inform decisions.
  • Familiarity with budgeting, expense tracking, and financial reporting to ensure transparency.
  • Comfortable with remote tools (Slack, Zoom, Google Workspace, CRMs, automation platforms) to adapt to changing environments.
