We are seeking a skilled and experienced front office professional to manage our reception area and provide exceptional customer service to our clients and visitors. This key role involves managing the smooth operation of the office, ensuring a positive experience for all guests.
Key Responsibilities- Greet and welcome guests upon arrival, establishing a warm and inviting atmosphere.
- Manage the reception area, maintaining a clean and organized space with all necessary stationery and materials readily available.
- Answer, screen, and forward incoming phone calls while providing relevant information as required.
- Receive and sort daily mail and deliveries efficiently.
- Schedule appointments and maintain calendars for the team, ensuring seamless coordination.
- Coordinate office activities and operations to maximize efficiency and ensure compliance with company policies.
- Manage office supplies inventory and place orders as necessary to maintain optimal levels.
- Assist with travel arrangements and accommodation bookings for staff members.
- Bachelor's degree in Business Administration or a related field.
- A minimum of 4-8 years of experience in front office or receptionist roles.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities, with a focus on prioritizing tasks effectively.
- A professional appearance and demeanor, with a customer-oriented approach.
- Ability to work independently and collaboratively as part of a team.
- Knowledge of basic accounting and record-keeping procedures.
