Import Documentation Specialist

The primary responsibility of the Import Documentation Specialist is to oversee the import documentation process, ensuring timely and accurate submission of necessary documents.


Key Responsibilities:
  • Receive and verify data from load ports, including freight and cargo manifests.
  • Perform quality checks on received data and edit as necessary to meet local requirements.
  • Prepare and submit Import IGM/IAL before vessel arrival, adhering to deadlines.
  • Ensure all regulatory compliances are met prior to submitting IGM.
  • Notify customers and ICD locations of vessel arrival in advance.
  • Submit SMTP files to terminals and surveyors for rail movement arrangements.
  • Coordinate enblock movements of loaded and empty containers to CFS before vessel arrival.
  • Follow up with CFS and ensure empty park operations are completed within stipulated time frames.
  • Verify B/L data with manifests and ensure correct endorsements.
  • Assist with additional duties as advised by management from time to time.

Key Result Areas:
  • Ensure B/L drafts are sent within 3 hours of shipping instruction receipt.
  • Process draft corrections and revised drafts within 1 hour of receipt.
  • Finalize manifests within 48 hours of vessel sailing.
  • Maintain a minimum processing rate of 98% through the portal.

Monitoring Mechanism:
  • Verify Bills of Lading are not released for containers picked up for stuffing.
