Import Documentation Executive KCIL Specialty Chemicals
Location: Thane (Kalwa)
Experience: 2-5 years in import documentation & logistics
Industry: Chemical / Manufacturing
Qualification: Any Graduate (Preference for candidates with experience in international trade & logistics)
Key Responsibilities:
Import Documentation Management:
- Prepare and verify import-related documents such as Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, and Insurance Certificate.
- Ensure compliance with customs regulations and international trade laws.
- Coordinate with freight forwarders, customs brokers, and shipping companies for smooth clearance.
Customs Clearance & Compliance:
- Ensure timely filing of Bills of Entry and coordinate with CHA (Custom House Agents) for clearance.
- Maintain records of import duties, taxes, and regulatory compliance.
- Stay updated with DGFT, RBI, and customs notifications for import-related policies.
Advance License Management:
- Apply for and manage Advance License under DGFT (Directorate General of Foreign Trade) schemes.
- Ensure proper documentation and compliance for duty-free import of raw materials under Advance Authorization.
- Coordinate with DGFT, customs authorities, and internal teams for license utilization and closure.
- Maintain records of export obligations and ensure timely fulfillment to avoid penalties.
Vendor & Logistics Coordination:
- Liaise with international suppliers for shipment schedules and document requirements.
- Coordinate with internal teams for material receipt, quality checks, and warehouse stock updates.
- Track shipments and manage any discrepancies in import consignments.
Payment & Banking Coordination:
- Handle Letter of Credit (LC), bank guarantees, and remittance processes.
- Coordinate with banks for forex payments, buyer's credit, and submission of import documents.
- Ensure BRC (Bank Realization Certificate) lodgment for payments.
MIS & Reporting:
- Maintain import documentation records and prepare periodic reports on shipments.
- Assist in budgeting and cost analysis related to import logistics.
- Ensure document filing as per audit and compliance requirements.
Key Skills Required:
Strong knowledge of import documentation and Advance License management.
Experience in customs clearance, LC processing, and handling import logistics.
Proficiency in ERP/SAP for import documentation.
Excellent coordination and communication skills.
Ability to work with freight forwarders, banks, and regulatory authorities.
