Job Title: Proposal Coordinator

Job Description:

The Proposal Coordinator is responsible for supporting transactional opportunities of limited complexity in response to a high volume of formal tender and proactive proposal requests. This role involves working independently and in collaboration with internal teams to produce draft proposals and full submissions, utilizing standard templates and content that articulate the value and benefits of our solutions.

Proposal Coordinators focus on reviewing support requests, analyzing tenders, and developing proposal responses that align with client requirements and specifications. The role utilizes pre-written content and proposal templates to quickly create responses, which requires gaining fluency in the use of our global content management platform and adopting AI technology to support document creation.

Key Responsibilities:

  • Coordinate with sales and other key stakeholders to develop proposals in a fast-paced environment.
  • Provide timely, professional, and customer-centric responses using a variety of tools including a content management system, intranet, and cloud-based resources.
  • Prepare and compile response documents, ensuring accuracy, readability, and completeness.
  • Manage multiple, simultaneous deadlines and ensure timely submission of responses.
  • Maintain a central repository of proposal documents and related materials.
  • Perform draft reviews and edit documents for formatting, clarity, compliance, and alignment with solution.
  • Coordinate meetings with sales lead and other stakeholders to understand requirements, align understanding, and clarify timelines.
  • Ensure proposal documents adhere to corporate brand, customer requirements, formatting, and quality standards.
  • Contribute new and updating existing content to the proposal library as needed.
Required Skills and Qualifications:

To be successful in this role, you will need:

  • A university degree in Journalism, Business, or similar fields preferred.
  • At least 2-3 years of proposal coordination-related experience preferred.
  • Proficiency in English language is a must, and a secondary regional language fluency is helpful.
  • Ability to prioritize and multitask within a fast-paced, challenging, and deadline-driven environment.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in MS Office, Google Suite, and Adobe Acrobat.
  • Familiarity with content management systems is helpful.
