Job Summary:

We are seeking a highly organized and detail-oriented Facilities Administrator to oversee the day-to-day operations of our facilities. The successful candidate will be responsible for ensuring seamless facility management, lease administration, and asset maintenance.

About the Role:

  • Lease Administration: We require a candidate with strong communication skills to coordinate with landlords, builders, and legal teams to execute lease agreements.
  • Asset Management: The ideal candidate will maintain accurate records of assets, handle Annual Maintenance Contracts (AMCs), and monitor depreciation and book value.
  • MIS & Budgeting: This role involves preparing monthly Management Information Systems (MIS) reports, analyzing administrative costs, and tracking budget versus actual utilization.
  • Procurement & Vendor Management: A competitive quoting process is required, along with managing consumable procurements and coordinating with the central finance team for invoice processing.
  • Facility Management: The Facilities Administrator will oversee housekeeping, maintenance of warehouse facilities, and ensure smooth daily operations.
  • Compliance & Licenses: The successful candidate must manage statutory compliances, licenses, and permissions from government bodies, aiming for zero escalations.
  • Stakeholder Coordination: Liaison duties involve working with local authorities and internal stakeholders, including finance, central administration, and HR.
  • TPL Coordination: Oversee Third-Party Logistics (TPL) for last-mile deliveries and coordinate with internal/external delivery partners.
  • Documentation: Maintain billing records, payment files, and physical documentation for audit and compliance purposes.
