Job Description

As an Asset Management Professional at BayOne Solutions, you will be responsible for ensuring the delivery readiness of assets, including obtaining a comprehensive asset list and identifying account teams and partners involved in product procurement and service coverage.

Key Responsibilities:

  • Obtain a thorough asset list, including all necessary data for work activities.
  • Identify the account team and partners involved in the customer's product procurement and service coverage.
  • Work with the account team to obtain a Letter of Authorization (LOA) if Aruba asset information needs to be shared across partners.

Customer Onboarding

Establishing the Customer Business Entity

Define the customer business entity and the associated Aruba assets (HW and SW) to be managed under premium support service. The Asset Manager will define and qualify customer names used to search Aruba systems for installed-based data on all Aruba products at customer locations.

Process Assessment

Perform a process assessment on existing asset and contract management capabilities in use by the customer or partner. Identify areas needing improvement for the Asset Manager to perform their job.

Installed Base Assessment

Conduct a comprehensive assessment of the customer's Aruba assets, a fundamental step in managing assets.

  • Work with the account team and partners to obtain a list of assets from Aruba, representing devices shipped, installed, and/or covered by an Aruba service contract.
  • Work with the customer to obtain a list of assets they track in their internal systems, offering additional insight into Aruba assets deployed in labs, staging areas, or behind firewalls.
  • Merge, match, and analyze IB data sets into a single view of the customer's IB, resolving duplicate data, identifying data conflicts, and showing disparate views of devices by site locations.
  • After completing the IB assessment, arrange a meeting with the account team and customer to discuss recommended changes to line items, service coverage, and asset locations.
  • Upon approval, process necessary MACD changes.
  • After successful update of IB data records, publish and distribute the updated IB report to the customer and account team.

Ongoing Asset Management

  • The Asset Manager will document, manage, and track changes as they are made to the IB baseline (MACD).
  • Monitor and evaluate IB accuracy of service delivery and entitlement issues in the account when notified by the account team or Delivery.
  • Provide ongoing account support for Aruba asset management.
  • Proactively notify of MACD change delays, processing errors, and trends.
  • Analyze and report on critical product life cycle pending events.

Aruba Asset Management Meetings

Conduct bi-weekly Aruba asset management meetings with the Aruba account team and prepare reports for Quarterly Operations Review meetings.

Asset Management Metrics

Capture metrics for the account to track and assess the impact of future changes to the IB baseline. Regular reporting of metrics will indicate trends of Aruba asset changes and provide insight into business changes occurring with the customer.

  • Inventory Accuracy: Quantitative measurement of the number of assets matching between all views.
  • Entitlement Exception Requests: Measurement of the number of Service Requests RMA exception requests processed for serial numbers not showing up under a support contract.
  • Asset Manager Scorecard: Quantitative measurement of the number of MACD changes processed in the reporting period.

Attach Rate

Quantitative measurement of the number of shipped devices versus the number of devices covered by support contracts.
