Job Title: HSTC Operations Coordinator

We are seeking a highly organized and detail-oriented professional to manage the smooth operation of High-Stakes Test Centers (HSTCs). This role is responsible for coordinating scheduling, reviewing availability and capacity requirements, and collaborating with internal teams.

Key Responsibilities:
  • Coordinate scheduling across the HSTC network, ensuring optimal utilization of resources.
  • Collaborate with Workforce Management team on Speaking Examiners' allocation forecast to meet operational needs.
  • Monitor HSTC utilization and recommend adjustments or expansions based on demand to maintain efficiency.
  • Manage accurate submission of invoices for HSTCs, verifying exam volumes and facilitating timely payments to stakeholders.
  • Coordinate with internal teams to minimize impact on candidates and stakeholders during unforeseen events.
  • Oversee CCTV monitoring across HSTCs to ensure ongoing compliance with regulatory standards and company policies.
  • Handle requests from HSTCs regarding changes in setup or personnel, directing them to the appropriate internal teams for support.
  • Proactively identify and communicate quality-related observations or opportunities for improvement to relevant teams.
  • Conduct site visits to High-Stakes Test Centers to assess operations, ensure adherence to company standards, and provide on-site support for continuous improvement.
Requirements:
  • Bachelor's degree in business administration, operations management, or a related field preferred.
  • 1-3 previous working experience in a multi-cultured environment would be considered a plus.
  • Excellent attention to detail and organizational skills.
  • Excellent command of the English Language (Level C2) with extra languages desired.
  • Advanced computer literacy required with ECDL Advance level certification desirable.
  • Clear and effective communication skills, both written and verbal.
  • Strong time-management skills and ability to work under pressure.
  • Experience in liaising with multiple teams and departments.
  • Strong focus on compliance, ensuring all processes and communications adhere to relevant regulations and industry standards.
  • Flexibility to travel as required to support operational needs.
