Job Opportunity: HR Operations Executive
We are seeking an experienced professional to manage various aspects of human resources operations, including SAP and non-SAP invoice processing, vendor management, Sodexo card distribution, onboarding, manual letter creation, and other responsibilities.
Key Responsibilities:
- SAP Invoice Processing:
- Create purchase requests, purchase orders, and service entry sheets in SAP for invoice processing and obtain barcode of payments for further sharing.
- Follow up and track payments with approvers for processing.
- Maintain a record of all payments as per financial year.
- Process invoices from collection to final payout as per defined timelines.
- Execute critical invoices within defined timelines.
- Resolve invoice-related queries for held payments.
- Process supply, event, and advance invoices within defined timelines.
- Process consultant invoices and ensure timely release of payments by the end of every month.
- Non-SAP Invoice Processing:
- Process non-purchase order invoices and release payment as per defined timelines.
- Process employee expense invoices.
- Process consultant reimbursement bills.
- Vendor Management:
- Share vendor registration format with vendors for creating vendor codes.
- Vet agreement documents and process modifications accordingly.
- Resolve vendor queries, update payment status, share payment advice & UTR number.
- Collect agreement and necessary documents from designated contacts as per query and modification.
- Automate payment clearance process.
- Sodexo Card Distribution:
- Distribute Sodexo cards and gift cards to new and existing employees.
- Assist and maintain employee query records from Sodexo contacts.
- Maintain Sodexo card record manual sheet – MIS maintenance for all Sodexo and gift card distributions.
- Create yearly purchase requests & purchase orders for various business units.
- Onboarding:
- Review and approve employment and educational documents submitted by candidates before joining.
- Verify physical documents and create employee files.
- Create ID cards and employee IDs for office employees.
- Create employee ID cards and hand over to location employees.
- Manual Letter Creation:
- Create visa letters.
- Create and extend internship letters.
- Make project completion letters.
- Relieve and exit letters.
- Create, revise, and extend consultant letters.
- Others as requested.
- Other Responsibilities:
- Plan induction of senior management employees as per HRBP requests.
- Set up in-person interactions for senior management employees.
- Co-coordinate with Plant HRs for tour visits of senior management employees.
Educational Background and Work Experience
We seek a graduate with an MBA (full-time preferred), minimum 5-7 years' experience in operations, and 3-5 years of experience in HR operations. Proficiency in MS Office, especially MS Excel, is required.
