Job Summary:

The Invoicing Associate will play a pivotal role in maintaining the financial integrity of our operations by ensuring timely and accurate invoicing.

Key Responsibilities:
  • Prepare and Issue Invoices: The Invoicing Associate will be responsible for preparing and issuing invoices to customers, ensuring accuracy and timeliness.
  • Meet Invoice Delivery Timelines: This includes meeting the invoice delivery timelines, ensuring that invoices are submitted on time.
  • Enter Invoices into Customer Websites: Invoices will be entered into customer invoicing websites, ensuring accurate and efficient processing.
  • Submit Invoices Electronically: Invoices will be submitted electronically via data interchange, reducing errors and increasing efficiency.
  • Understand Customer-Specific Invoicing: The Invoicing Associate will understand the key areas in invoicing specific to each customer, ensuring accurate and personalized service.
  • Verify Invoice Fields: Each field on the invoices will be checked before submission, ensuring accuracy and completeness.
  • Attach Support Documents: All support and backup documents will be attached to invoices, providing transparency and accountability.
  • Update Invoice Status: The invoice submission status will be updated in Navision in a timely and immediate manner.
  • Maintain Invoice Logs: Logs and files related to invoice submissions and customer invoicing processes will be maintained.
  • Collaborate with Payroll and Invoicing Team: The Invoicing Associate will work closely with the payroll and invoicing team to accelerate the invoice submission process and improve efficiency.
  • Send Statements to Customers: Statements of accounts will be sent to customers, ensuring clear and concise communication.
  • Reconcile Self-Billed Cases: Self-billed cases will be reconciled with customer-approved timesheets, addressing any mismatches or discrepancies in billing and payment.
  • Handle Invoice Rejections: Invoice rejections and credit/rebill issues will be handled efficiently, minimizing delays and disruptions.
  • Develop SOPs for Invoicing: Standard operating procedures (SOPs) for complete invoicing processes, account-wise, will be developed and maintained.
  • Improve Invoicing Platforms: Continuous support will be provided for improving invoicing platforms and workflows, enhancing efficiency and productivity.
  • Assist Credit Control: The Invoicing Associate will assist the credit control team in invoicing and collection of payments, ensuring smooth and efficient processes.
