Office Operations Coordinator

We are seeking an organized and detail-oriented Office Assistant to support daily administrative operations, travel coordination, and calendar management.
About iFORESTiFOREST is an independent not-for-profit research and innovation organisation dedicated to identifying, promoting, and scaling up solutions for pressing environment-development challenges in India and other developing countries in Asia and Africa.
Key Responsibilities- Handle all communication of the CEO's office, including emails, phone calls, and mail.
- Assist in scheduling meetings, appointments, and events.
- Coordinate domestic and international travel arrangements for CEO's Office & team members, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and ensure timely updates to travelers.
- Handle travel-related expense reports and reimbursements.
- Manage and organize schedules for CEO Office and team members using MS Outlook.
- Schedule and coordinate meetings, ensuring no conflicts and adequate preparation time.
- Set up reminders and notify relevant parties of changes to appointments or events.
- Monitor and replenish office supplies, ensuring availability and managing inventory.
- Coordinate with vendors for office maintenance, repairs, and service.
- Ensure the office environment is clean, organized, and professional.
- Maintain and organize office files, records, and documentation (physical and digital).
- Prepare reports, presentations, and other documents as requested.
- Assist in data entry and maintaining up-to-date records.
- Take minutes during meetings and distribute them promptly.
Estimated salary: ₹9,00,000 per annum. Work location: Noida Sector 132.
Qualifications and Skills- Graduation or equivalent.
- Diploma in Office Management, Secretarial Practices, or Travel Coordination.
- At least 2-4 years of proven experience as an Office Assistant or in a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
- Expertise in managing travel arrangements and calendars using tools like MS Outlook.
- Familiarity with office equipment like printers, scanners, and telecommunication systems.
- Excellent organizational and multitasking ability.
- Strong written and verbal communication skills.
- A professional demeanor with a positive attitude.
