Job Title:

We are seeking an experienced Regional Administrative Manager to join our team. This is a key role that requires excellent leadership and organizational skills.

About the Role:

The successful candidate will be responsible for overseeing the administrative activities and operations of a region. This includes managing a team of administrators, defining their scope and key responsibilities, and communicating with senior management to develop strategic plans and goals.

  • Complete ownership of managing regional administrative activities and operations, as well as the administration team.
  • Define the scope and key responsibilities of team members.
  • Communicate and coordinate with immediate management to develop strategic programs and project goals.
  • Direct reporting to the Zonal Admin Head on day-to-day activities, incident management, etc.
  • Monitor and report on key project activities, plans, and progress.
  • Manage calls and discussions.
  • End-to-end exam day and non-exam day administrative activities management and team coordination.
  • Ensure zero incidents on exam day related to administrative services.
  • Assist in recruitment, training, and talent development of team members.
  • Define and deploy control and monitoring mechanisms for the administration team within the region.
  • Train and develop the administration team within the region.
  • Ensure standardization of processes at all exam venues.
  • Regional vendor management, support the Zonal Head in finalizing contracts and vendor invoices.
  • Publish regular dashboards on key performance parameters to the Zonal Admin Head and senior management on an as-needed basis.
  • Central point of contact for all facility-related matters at the regional level.
  • Ensure SLA/SLC compliance at exam venues.
  • Governance over ViDZ/LISP partners, regular meetings, and closure of audit points.
  • Contract management.
  • Assist/support in shortlisting prospective partners/venues identified by city heads based on defined parameters within the region.
  • Maintain and monitor legal compliance for all venues.
  • Prepare and deploy contingency/BCP plans.
  • Conduct surprise checks at exam venues.
  • Handle crisis situations.
  • Coordinate and manage with manpower agencies.
  • Conduct audits of exam venues.
  • Perform any other duties assigned from time to time.

Requirements:

To succeed in this role, you will need:

  • Good communication skills (written/verbal).
  • Strong technical knowledge of electrical equipment.
  • Experience in soft services facility management.
  • Experience in facility operations and management.
  • Must have managed a team.
  • Experience in conflict management.
  • Willingness to work, learn, and perform under extreme pressure.
  • Willingness to travel.
  • Good liaisoning with police and other local government departments.
  • Awareness of laws related to facility compliance and operations.
  • Vendor management skills.
  • Openness to taking complete ownership, responsibility, and accountability for assigned work.
  • Good computer knowledge (Microsoft Excel, Word, PowerPoint, etc.).
