Job Title: Computer Systems Coordinator

We are seeking a skilled and detail-oriented Computer Systems Coordinator to carry out various responsibilities in our organization.

  • Main Responsibilities:
    • System Operation and Management:
      • Monitor and operate computer systems, printers, scanners, and data entry terminals.
      • Troubleshoot basic hardware or software issues to minimize downtime.
      • Manage file storage systems to ensure regular backups and security.
      • Execute scheduled system tasks such as data processing, report generation, and software updates.
      • Liaise with technical teams for advanced technical support needs.
    • Data Entry and Database Management:
      • Accurately enter data into databases, spreadsheets, and enterprise resource planning (ERP) systems.
      • Update customer records and transaction details in the company's information systems.
      • Verify and validate data entries for correctness and completeness.
      • Maintain organized filing systems for easy retrieval of information.
      • Assist in generating reports by compiling and analyzing data from various sources.
    • Back Office Support:
      • Process administrative duties such as invoices, purchase orders, and correspondence.
      • Support the finance department by preparing billing statements, reconciling accounts, and managing petty cash records.
      • Coordinate with other departments to collect and verify documents, process approvals, and follow up on pending tasks.
      • Communicate with vendors, clients, and internal teams via emails, phone calls, or messaging platforms.
      • Maintain confidentiality of sensitive information and adhere to data protection policies.
    • Record Keeping and Documentation:
      • Maintain accurate logs of operational activities, system errors, and resolved issues.
      • Prepare documentation related to system procedures, updates, and user manuals as needed.
      • Archive historical data according to organizational policies and legal requirements.
      • Assist with audits by providing necessary data and documentation on request.
    • Quality and Compliance:
      • Ensure all data handling and operational procedures comply with organizational standards and industry regulations.
      • Identify discrepancies or inconsistencies in data and work with relevant teams to resolve them promptly.
      • Participate in initiatives to enhance efficiency and accuracy in back-office functions.
