Senior Payroll Specialist

We are seeking a highly skilled Senior Payroll Specialist to join our team. The ideal candidate will have extensive experience in managing payroll operations, ensuring compliance with federal and state regulations.

The Senior Payroll Specialist will be responsible for:

  • Processing bi-weekly or semi-monthly payroll for multi-state employees.
  • Ensuring accurate calculation of wages, overtime, bonuses, retroactive pay, and deductions.
  • Maintaining accurate records of garnishment balances and ensuring timely payments to agencies.
  • Reviewing and validating payroll reports including payroll registers, tax filings, and general ledger entries.
  • Complying with FLSA and ensuring proper tax withholdings.
  • Managing timekeeping systems (e.g., ADP Time & Attendance) to ensure accurate employee hours and leave balances.
  • Correcting missed punches and ensuring timely submission of timecards.
  • Reviewing and approving time-off requests, ensuring proper documentation and policy adherence.
  • Entering and maintaining employee data including new hires, terminations, job changes, pay rate changes, and transfers.
  • Monitoring workflow approvals and following up on pending items to ensure timely processing.
  • Processing final paychecks and vacation payouts for terminated employees.
  • Generating and analyzing payroll reports such as Employee Transactions and Totals, Payroll Register, and Audit Logs.

Key skills required for this role include:

  • Strong understanding of U.S. payroll laws and multi-state payroll compliance.
  • Experience with garnishments, 401(k) administration, and tax filings.
  • Proficiency in ADP Workforce Now or similar payroll systems.
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUP, data analysis).
  • Excellent communication, problem-solving, and organizational skills.
  • High attention to detail and ability to manage multiple priorities under tight deadlines.
