Job Summary

We are seeking a highly skilled and organized Executive Secretary to provide administrative support to high-ranking officials within our company, FallenAmbers. This role is ideal for a quick professional with excellent time management and multitasking abilities.

Key Responsibilities
  • Maintain the executive's agenda and assist in planning appointments, board meetings, conferences, etc.
  • Attend meetings, take minutes, and ensure accurate records are kept.
  • Receive and screen phone calls, redirecting them when necessary, and handle confidential documents with utmost care.
  • Handle and prioritize all outgoing and incoming correspondence, including email, letters, and packages.
  • Make travel arrangements for executives and ensure all necessary documents are in order.
  • Prepare invoices, financial statements, and provide assistance in bookkeeping, ensuring accuracy and timeliness.
  • Monitor office supplies, negotiate terms with suppliers, and ensure cost-effective orders are made.
  • Maintain electronic and paper records, ensuring information is organized and easily accessible.
  • Conduct research, prepare presentations, and reports as assigned, providing valuable insights to the executive team.
Requirements
  • Proven experience as an Executive Secretary or similar administrative role.
  • Proficient in MS Office and back-office software, including ERP systems.
  • Indepth knowledge of office management, basic accounting procedures, and technical vocabulary relevant to the industry.
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational, time management, and communication skills.
  • Outstanding negotiation and confidentiality skills.
  • Degree in business administration or a related field.
