Project Coordinator Role Overview

We are seeking a detail-oriented Project Coordinator with a strong engineering background to support the planning, execution, and delivery of immersive XR projects. This role requires collaboration with project stakeholders to ensure timely completion of projects within scope while maintaining high standards of quality, accuracy, and client satisfaction.

Key Responsibilities:

  • Planning & Documentation:
    • Review and approve project scope, objectives, deliverables, and success metrics
    • Approve project documentation including engineering storyboards, project plans, and technical reports
  • Coordination:
    • Coordinate with departments to allocate resources effectively
    • Monitor resource availability and utilization to ensure optimal allocation
  • & Monitoring:
    • Ensure adherence to internal processes, regulatory standards, and quality frameworks
    • Maintain audit-ready documentation throughout the project lifecycle
  • Escalation Management:
    • Maintain and update a centralized Risk Register
    • Identify, evaluate, and implement risk mitigation strategies
    • Evaluate critical concerns and drive resolution through project stakeholders
  • Budgeting:
    • Support budget formulation with cross-functional teams
    • Track expenditures, flag discrepancies, and propose corrective actions
  • Management:
    • Maintain logs of change requests and assess their impact on scope and resources
    • Drive internal approvals and update project documentation as necessary
  • Vendor Management:
    • Coordinate with external vendors to manage timelines and deliverables
    • Monitor SLA compliance and resolve vendor-related issues
  • Reporting:
    • Maintain regular communication with project stakeholders, including clients, team members, and senior management
    • Prepare and deliver project status reports, highlighting key milestones, risks, and issues
  • Assurance:
    • Oversee internal reviews and approvals of all deliverables
    • Ensure all outputs meet quality benchmarks and client expectations
  • Storyboards & Project Engineer Oversight:
    • Develop and review detailed technical storyboards for alignment with project goals
    • Train and mentor Project Engineers on documentation standards
    • Supervise performance and task delivery of the engineering team
  • Improvement & Team Support:
    • Promote a culture of collaboration and continuous learning
    • Identify process improvement opportunities and implement best practices
    • Support project stakeholders in team leadership, motivation, and conflict resolution
