Administrative Program Support Specialist

The University of Toronto India Foundation, based in Mumbai, fosters innovation, research, and entrepreneurship through collaborative initiatives between the University of Toronto and Indian institutions/organizations.
Role Overview:As a Program Coordinator, you will play a vital role in supporting the Research & Education programs and the Entrepreneurship Centre. Your role will involve assisting in the planning, execution, and monitoring of research and entrepreneurship programs, ensuring smooth operations and effective collaboration between Canadian and Indian partners.
Your Opportunity:Reporting to the Country Head, you will provide administrative and programmatic support to ensure the successful implementation of UTIF's initiatives. You will be responsible for coordinating events, managing communication with stakeholders, assisting in budget tracking, and ensuring that all activities align with UTIF's goals.
Key Responsibilities:- Assist in program execution of multi-stakeholder projects and adhere to detailed timelines for program activities, ensuring efficient delivery.
- Help plan and organize workshops, seminars and miscellaneous events by liaising with program leads and external vendors.
- Regularly coordinate with vendors, external partners, and internal teams to meet deadlines, and resolve logistical challenges.
- Prepare detailed briefing notes summarizing key points, action items, and relevant background information for internal and external meetings.
- Develop concept notes, conduct preliminary research and analysis to support management team with evaluating programs, partners.
- Assist in building and maintaining a robust network within the Indian and Canadian research and entrepreneurship ecosystems.
- Utilize basic software/programs for design and copywriting to manage UTIF's social media presence and website content.
- Under the guidance of program leads, coordinate with vendors to maintain website content to ensure all the programs and initiatives are kept updated.
- Under the guidance of program leads, work with the marketing agency to create engaging and visually appealing content, including graphics, videos, and written posts, for UTIF's social media platforms.
- Under the guidance of program leads, establish and monitor key performance indicators (KPIs) to assess the impact and effectiveness of UTIF's programs.
- Conduct data analysis to inform management decision-making.
- Monitor implementation and resource utilization for both research and entrepreneurship projects.
- Gather feedback from participants and stakeholders to continually improve program offerings.
- Bachelor's degree in Social Work, Public Policy, Economics, Business Management, or an equivalent field.
- 3 to 4 years of experience in program coordination or program administration, preferably within the academic or entrepreneurial sectors.
- Strong written and verbal communication, networking, and interpersonal skills.
- Proficiency in Microsoft Office 365 and collaboration tools.
- Ability to work independently with initiative, discretion, and tact.
- Excellent organizational and multitasking skills, with the ability to prioritize and manage competing priorities.
- Demonstrated ability to work collaboratively with diverse stakeholders in Indian and international contexts.
- Flexibility to travel and work outside of standard hours as needed.
