About the Role

We are seeking a highly skilled and organized Executive Assistant to support our Vice President in a fast-paced and dynamic environment. As a key member of our team, you will provide administrative support, manage calendars, coordinate travel, and ensure the smooth operation of the office.

Responsibilities
  • Provide administrative support to the Vice President, including managing calendars, coordinating travel, and preparing correspondence.
  • Manage the day-to-day operations of the office, including supplies, equipment, and facilities.
  • Coordinate meetings, events, and conferences, including arranging logistics, catering, and audio-visual equipment.
  • Prepare and process expense reports, invoices, and other financial documents.
  • Develop and maintain departmental distribution lists, location summaries, and asset inventory management.
  • Provide exceptional customer service to internal and external clients, including responding to inquiries, resolving issues, and escalating concerns.
  • Collaborate with other teams and departments to ensure seamless communication and coordination.
  • Stay up-to-date with company policies, procedures, and initiatives, and ensure compliance with all relevant regulations.
Requirements
  • Minimum 2-3 years of experience as an administrative assistant supporting leadership in a large, globally dispersed corporate business.
  • Demonstrated ability to interact with senior leaders and handle confidential and sensitive information with discretion and integrity.
  • Excellent organizational and prioritization skills, with strong attention to detail and accuracy.
  • Strong verbal and written communication skills, with the ability to communicate effectively with diverse stakeholders.
  • High proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
  • Knowledge of American Express platforms, such as Concur, Reserve, Cisco/WebEx, Ariba, Navigator, Payroll, and TechCare, is preferred.
