Procurement Specialist Role Overview

This procurement specialist role supports the Technical Department by executing day-to-day operations in alignment with company policies and procedures.

Key Responsibilities and Tasks
  • Execution of Procurement:
    • Accurately process purchase requisitions into purchase orders.
    • Update the computerized purchasing system to reflect order status.
    • Ensure vendor selection based on cost, lead time, quality, and contract terms.
  • Documentation and Compliance:
    • Maintain electronic and physical purchasing filing systems.
    • E nsure all procurement activities adhere to technical department manual and management system guidelines.
    • Contribute to improvement and standardization of procurement procedures.
  • Communication and Coordination:
    • Escalate procurement-related issues to relevant superintendents.
    • Liaise with vendors to track deliveries and expedite services.
    • Coordinate invoice verifications and payment issues with finance team.
  • Inventory and Order Management:
    • Monitor delivery timelines and ensure vessel schedules are met.
    • Follow up on backorders and ensure closures are recorded in the system.
    • Maintain performance data for future evaluation purposes.
  • Continuous Improvement:
    • Provide feedback to enhance procurement cycle efficiency, cost-effectiveness, and supplier quality.
    • Participate in internal audits and implement corrective actions related to procurement gaps.
