Operations Executive

This is a dynamic and challenging role as an Operations Manager, responsible for ensuring excellence in resident experience, vendor management, financial control, and property upkeep across multiple co-living properties.

Key Responsibilities:
  • Property Launch & Expansion
    • Lead the scouting and acquisition of new properties, coordinating with the Business Development team to identify opportunities for growth.
    • Oversee the fit-out process and ensure alignment with vendors during pre-launch phases.
    • Prepare and execute the property onboarding checklist before handover to guarantee seamless transitions.
    • Develop and implement new property/city SOPs to maintain consistency across locations.
  • Vendor & AMC Management
    • Oversee the onboarding process for vendors, conducting compliance checks and negotiating rates to ensure cost-effectiveness.
    • Track AMC contracts for services such as WiFi, pest control, DG sets, and fire safety.
    • Conduct regular reviews of vendor performance and validate billing accuracy to prevent discrepancies.
    • Coordinate with F&B, housekeeping, laundry, and maintenance partners to ensure exceptional service standards.
  • Operations & Maintenance
    • Monitor day-to-day issue tracking and ensure timely resolution to minimize disruptions.
    • Manage utility bills (electricity, water, gas) and maintain zero default to optimize costs.
    • Ensure asset and inventory control across properties to prevent losses.
    • Own the preventive maintenance calendar and drive execution to prevent breakdowns.
    • Conduct daily audits for hygiene, grooming, and property upkeep to maintain high standards.
    • Ensure security and surveillance SOP adherence to protect residents and assets.
    • Oversee fire safety compliance, readiness, and drill execution to guarantee preparedness.
  • Resident Experience & Community
    • Ensure timely resolution of resident escalations within defined SLAs to maintain satisfaction.
    • Oversee resident onboarding & welcome kit handover to provide a warm welcome.
    • Collaborate with Property Manager for events & engagement to foster a sense of community.
  • Financial & Reporting
    • Track petty cash and reconcile property-level expenses to ensure accuracy.
    • Monitor rent collections, outstanding follow-ups, and ensure timely deposits to maintain cash flow.
    • Prepare property-level P&L statements and conduct variance analysis to inform business decisions.
    • Submit weekly and monthly reporting to the Ops Head to provide visibility into operations.
    • Drive utility and operational cost optimization initiatives to reduce expenses.
  • People & Team Management
    • Allocate daily tasks and monitor performance of PMs and MSTs to ensure productivity.
    • Ensure staff grooming, punctuality, and adherence to shift schedules to maintain high standards.
    • Liaise with HR for staff training, onboarding, and attendance tracking to support employee development.
    • Resolve conflicts within the team and drive motivation in a sales+ops environment to promote collaboration.
  • Compliance & Control
    • Ensure police verification of tenants, housekeeping staff, and security guards to maintain safety.
    • Enforce SOPs related to curfew violations, visitor entries, and escalation protocols to prevent incidents.
    • Maintain Lost & Found logs and ensure transparency to build trust with residents.
    • Conduct surprise night audits and incident reporting to identify areas for improvement.
    • Drive SOP compliance and enforce property audit checklists to maintain high standards.
