Job Description:

The Client Project Coordinator plays a pivotal role in ensuring the seamless execution of projects within our organization. This involves setting up, initiating, planning, and closing projects efficiently, while providing essential support to both clients and employees.

About the Role:

  • Developing Project Timelines: Assist in creating comprehensive project timelines, deliverables, and milestones for client engagements.
  • Scheduling and Facilitating Client Meetings: Serve as a point of contact for clients regarding scheduling, documentation, and general inquiries, while preparing agendas and documenting key takeaways.
  • Tracking Client Feedback and Issue Resolution: Collaborate with the project team or Project Manager to track and resolve client feedback and issues.
  • Project Budgeting and Financial Compliance: Ensure accurate tracking and update of project budgets, expenses, and billable hours, adhering to financial guidelines.
  • Status Reports and Communication: Prepare regular status reports for leadership and clients to track and communicate project progress.
  • Client Check-Ins and Support: Hold periodic client check-in meetings to support subscription services business and ensure adherence to company policies and industry regulations.
  • Operational Support and Process Improvement: Assist in operational areas, including order processing, Statement of Work reviews, project data validation, change requests, time entry and billing, quality assurance, reporting, and governance.

Required Skills and Qualifications:

  • Technology Expertise: Proficiency in multiple tools, with the ability to quickly learn new technologies.
  • Advanced Excel Skills: Experience with PivotTables, VLOOKUPs, and other advanced features.
  • O365 and Power Platforms: Knowledge of Microsoft Office 365 and Power Platforms.
  • Strong Interpersonal and Presentation Skills: Effective communication and presentation skills, with the ability to interact with diverse stakeholders.
  • Attention to Detail: Strong attention to detail, particularly with dates and financial figures.
  • Process Improvement: Proven track record of results from the application of process improvement techniques.
  • Project Management Skills: Strong project management skills, with experience in developing specific goals and plans to prioritize, organize, and accomplish work.
  • Professional Services Background: Strong understanding of Professional Services business, including back-office processes and/or operations and technologies.
  • Experience Reviewing and Creating Statements of Work: Familiarity with reviewing or creating Statements of Work (SOW).
  • Certifications and Experience: Preference given to candidates with PMP, CSM, or other project management certifications, as well as experience working collaboratively with global teams and clients.
