Office Administrator Role

**Job Summary:**

We are seeking a highly organized and detail-oriented Office Administrator to join our team. This role is responsible for managing day-to-day administrative operations of the office, overseeing procurement and inventory of office supplies and assets, and ensuring smooth functioning of facilities, equipment, and utilities.

**Key Responsibilities:

  • Manage day-to-day administrative operations, including reception, mailroom, and supply management
  • Oversee procurement and inventory of office supplies and assets, ensuring compliance with company policies and procedures
  • Ensure smooth functioning of facilities, equipment, and utilities, performing routine maintenance and repairs as needed
  • Maintain accurate records of bills, payments, petty cash, and vendor contracts, providing timely and transparent reporting to stakeholders
  • Coordinate company travel, accommodations, and meeting logistics, ensuring seamless execution and minimal disruptions
  • Maintain accurate documentation and filing systems, both physical and digital, ensuring easy access and retrieval of critical information
  • Assist HR with onboarding/offboarding, employee attendance, and leave tracking, providing exceptional customer service and support
  • Ensure compliance with company policies and procedures, supporting internal audits and risk management initiatives
  • Supervise housekeeping and ensure the office environment is clean and professional, promoting a positive and productive work atmosphere

**Requirements:**

  • Bachelor's degree in any discipline (required)
  • 3-5 years of proven experience in office administration or operations (preferred)
  • Proficient in MS Office Suite (Word, Excel, Outlook)
  • Excellent organizational, coordination, and communication skills
  • Strong problem-solving abilities and attention to detail
  • Ability to handle confidential information with discretion

**Preferred Skills:**

  • Budgeting and vendor negotiation experience
  • Familiarity with office management software or ERP systems
  • Comfortable working in a fast-paced and deadline-driven environment

**Qualifications:**

  • Bachelor's degree or equivalent experience
  • Strong interpersonal, customer service, and communication skills
  • Ability to multitask
