Vendor Management Specialist Job Description
As a Vendor Management Specialist, you will play a crucial role in overseeing the entire vendor lifecycle. This involves identifying and evaluating potential suppliers, negotiating contracts, monitoring performance, and fostering collaborative relationships that align with our strategic objectives.
Your expertise will directly contribute to the quality of our products, efficiency of our operations, and overall business success.
Key Responsibilities:- Vendor Relationship Management: Develop and maintain strong, collaborative relationships with existing and new vendors, fostering long-term partnerships.
- Supplier Sourcing: Source, evaluate, and select new vendors based on comprehensive criteria including quality, cost-effectiveness, reliability, and ethical practices.
- Negotiation and Contracting: Negotiate contracts, terms, and pricing with vendors to secure favorable agreements and optimize value for the company.
- Performance Monitoring: Monitor and assess vendor performance against agreed-upon KPIs, SLAs, and quality standards (e.g., delivery timelines, product quality, service levels).
- Continuous Improvement: Conduct regular vendor reviews and feedback sessions to drive continuous improvement and address any performance gaps.
- Compliance and Governance: Ensure vendor compliance with company policies, industry regulations, security standards, and contractual obligations.
- Onboarding and Offboarding: Manage the onboarding and offboarding processes for vendors, ensuring smooth transitions and proper documentation.
- Issue Resolution: Resolve vendor-related issues, disputes, or escalations promptly and professionally.
- Strategic Planning: Identify opportunities for vendor consolidation, optimization, or innovation to enhance efficiency and cost savings.
- Cross-Functional Collaboration: Collaborate closely with internal departments such as Procurement, Production, Retail Operations, Marketing, and IT to align vendor strategies with business needs.
- Documentation and Record-Keeping: Maintain accurate and up-to-date vendor records, contracts, and documentation.
- Experience: Proven experience in vendor management, procurement, or supply chain management.
- Negotiation and Communication: Exceptional negotiation and communication skills, both written and verbal.
- Analytical Abilities: Strong analytical abilities to evaluate vendor performance, market trends, and financial proposals.
- Contract Management: Proficiency in contract management and understanding of legal terms related to vendor agreements.
- Attention to Detail: High level of attention to detail and strong organizational skills.
- Relationship Building: Ability to build and maintain effective professional relationships.
- ERP Systems: Familiarity with ERP systems (e.g., SAP, Oracle) for vendor and procurement processes is a plus.
- Educational Background: Bachelor's degree in Business Administration, Supply Chain Management, Finance, or a related field.
- Industry Experience: Experience within the retail, jewelry, or manufacturing sector is highly advantageous.
