Job Summary:

We are seeking a Regional Administrative Manager to oversee the day-to-day administrative operations of our regional office.

Key Responsibilities:
  • Complete ownership of managing regional admin activities and operations
  • Define scope and key result areas (KRAs) for team members
  • Communicate and coordinate with immediate management to develop strategic program and project goals
  • Direct reporting to Zonal Admin Head on day-to-day activities, incident management, etc.
  • Monitoring and reporting of key project activities, plans, and progress
  • Managing calls and discussions
  • End-to-end exam day and non-exam day administrative activities management and team coordination
  • Ensuring zero incidents on exam day related to admin services
  • Help in recruitment, training, and talent development of team members
  • Define and deploy control and monitoring mechanisms for the admin team within the region
  • Training and development of the admin team within the region
  • Ensure standardization of processes at all exam venues
  • Regional vendor management; support Zonal Head in finalizing contracts and vendor invoices
  • Publish regular dashboards on key performance parameters to Zonal Admin Head and senior management on need basis
  • Central point of contact for all facility-related matters at the regional level
  • Ensure SLA/SLC at exam venues
  • Governance over ViDZ/LISP partners, regular meetings, and closure of audit points
  • Contract management
  • Support in shortlisting prospective partners/venues identified by city head based on defined parameters within the region
  • Maintain and monitor legal compliance for all venues
  • Prepare and deploy contingency/business continuity plan (BCP)
  • Surprise checks at exam venues
  • Handle crisis situations
  • Coordinate and manage with manpower agencies
  • Conduct audits of exam venues
  • Other duties as assigned from time to time
Requirements:
  • Good communication skills (written/verbal)
  • Strong technical knowledge of electrical equipment
  • Experience in soft services facility management
  • Experience in facility operations and management
  • Must have managed a team
  • Experience in conflict management
  • Willingness to work under extreme pressure
  • Willingness to travel
  • Good liaisoning with police and other local government departments
  • Awareness of laws related to facility compliance and operations
  • Vendor management skills
  • Open to take complete ownership, responsibility, and accountability of assigned work
  • Good computer knowledge (Microsoft Excel, Word, PowerPoint, etc.)
