Document Management Specialist

As a Document Management Specialist, you will play a key role in ensuring the accuracy and timeliness of project documents. Your impact will be felt throughout the organization as you maintain quality documentation, adhere to company procedures, and communicate effectively with team members.

Key Responsibilities:

  • Preparing standardized document numbering systems
  • Understanding Jacobs Document Templates System
  • Responsible for project folder setup and maintenance
  • Liaising with project teams and external parties
  • Providing support during audits and preparing ad-hoc templates and reports
  • Processing and controlling project documents on a day-to-day basis
  • Maintaining quality documentation like Documents, Drawings, RFIs, and registers
  • Filing documents in physical and digital records and ensuring appropriate storage
  • Communicating changes to document control procedures
  • Assisting in implementing new and improving Document Management Systems and processes
  • Training employees about project documentation systems
  • Maintaining confidentiality of sensitive documentation
Required Skills & Qualifications

Minimum five (5) years work experience in document management, archive management, or records management

Strong MS Office Skillset including SharePoint, Outlook, Word, Excel, and PowerPoint

Document Control Management systems experience specially in Bentley, ProjectWise, Aconex etc
